Booking & Cancellation Policy

This policy applies to all photography expeditions led by Sadek Khafagy. Paying the deposit confirms that you have read and accepted these terms.

1. Reserving your seat

Message us on WhatsApp to check availability. We will send you the full itinerary and payment details.

Your seat is confirmed once your deposit is received, and we will confirm it in writing. Seats are allocated in the order deposits are received.

2. Payment schedule

20% of the tour price at booking (deposit)
30% due 60 days before departure
50% (final balance) due 20 days before departure

Bookings made less than 60 days before departure pay 50% at booking. Bookings made less than 20 days before departure pay in full.

All prices are in US dollars. If a payment is not received by its due date, we may release your seat, and the booking will be treated as a cancellation by you.

3. If you cancel

Cancellations must be sent in writing by WhatsApp or email. The date we receive your message is the cancellation date.

61 days or more before departure: the 20% deposit is retained. Any amount paid above the deposit is refunded.
60 to 21 days before departure: 50% of the tour price is retained.
20 days or less before departure, or no-show: 100% of the tour price is retained.

No refunds are given for unused services, missed days or leaving the expedition early.

4. Flights booked through us

When your package includes flights from Riyadh, airline tickets are non-refundable once issued, whenever you cancel. Where the airline allows a name change or date change, the airline's fees apply. Flight costs are handled separately from the tour refunds above.

5. Transferring your seat

You may transfer your seat to another person at no extra charge up to 20 days before departure, as long as they meet the tour's travel requirements. Any airline fees for changing the name on a ticket are paid by the participant.

6. If we cancel or change an expedition

If we cancel an expedition for any reason, including too few participants, you will receive a full refund of all tour payments. You can choose a credit toward another expedition instead. We will give you as much notice as possible.

We are not responsible for costs you paid to others, such as flights you booked yourself or visa fees. We recommend booking flexible or refundable tickets until we confirm the expedition is going ahead.

Daily plans may change because of weather, safety, road or park access, or local conditions. Changing the plan to get the best and safest photography is part of the experience, and no refunds are given for these changes.

If an expedition cannot go ahead because of events beyond our control, we will offer you a credit or refund any amount not already paid to suppliers. Examples include natural disasters, epidemics, government restrictions and airline disruption.

7. Travel insurance

Travel insurance is mandatory. It must cover medical treatment, emergency evacuation and trip cancellation. Please send proof of cover before departure.

8. Passports and visas

You are responsible for holding a passport valid for at least six months after your return, and for getting any visas you need. We will give you an itinerary and booking confirmation to support your application. Please apply early. If your visa is refused, the standard cancellation terms apply.

9. Health, safety and conduct

Please tell us about any medical condition or physical limitation before booking, so we can advise whether the expedition suits you. Participants must follow the leader's safety instructions, local laws, and the rules of parks and reserves, including rules on wildlife and drones. We may remove a participant who puts themselves or the group at risk, and no refund will be given.

10. Photography and privacy

You keep full rights to the images you create. Sadek may photograph group moments and use them to promote future expeditions. Just tell us if you prefer not to appear, and we will respect that.

We may update these terms from time to time. The terms in force on the date of your booking apply to that booking. Last updated: October 2026.
